CompanyGPT

A private, business-specific AI operating layer that connects your roles, your workflows, and the systems you already use — with your people keeping approval and authority at every step.

What CompanyGPT is

Most businesses run on disconnected steps: an inquiry lives in the inbox, the quote in a template, the schedule on a whiteboard, the invoice in accounting software. Each step re-enters the same customer information, and details fall through the cracks between them. CompanyGPT connects those steps into one private operating layer built around your business — your services, your pricing rules, your voice, your systems.

Why does that matter? Because one inquiry should inform every downstream step. When a customer asks about a roof repair, that same information — who they are, what they need, when they need it — should flow into the quote, the crew’s job sheet, the material order, the invoice, and the follow-up. CompanyGPT makes that flow the default instead of the exception, while your people keep every decision that matters.

RoleX roles — one responsibility each

Conceptual roles that divide the work of the business the way a good office does. Each prepares; humans approve.

CEOX

Keeps the big picture — priorities, performance, and decisions that need the owner's eye.

FrontDeskX

Handles inquiries and intake — acknowledging, qualifying, and routing every request that comes in.

SalesX

Prepares quotes and follow-ups from your pricing rules and past work, ready for human review.

MeasurementX

Organizes measurement and estimating details so quotes reflect the actual job site.

PurchasingX

Drafts material orders and supplier requests tied to what was quoted and scheduled.

InstallationX

Prepares job details and crew hand-offs so the field gets complete, accurate information.

FinanceX

Drafts invoices from completed work and flags anything that does not match the record.

ServiceX

Manages follow-up — warranty questions, review requests, and the path back to repeat business.

One inquiry, end to end

An example journey from first contact to follow-up — note where AI prepares and where humans approve.

  1. Inquiry arrives

A prospect submits a form or calls. FrontDeskX acknowledges immediately in your voice and captures the details.

  2. AI prepares, human approves

SalesX drafts a quote from your pricing rules and similar past jobs; your estimator reviews and sends it.

  3. Scheduling

FrontDeskX proposes times based on the calendar; the customer confirms; InstallationX prepares the crew's job sheet.

  4. Installation

PurchasingX drafts the material order against the quoted scope; the crew lead approves it and the work proceeds.

  5. Billing

FinanceX drafts the invoice from the completed work record; your office reviews and sends it.

  6. Follow-up

ServiceX schedules a check-in and a review request, escalating anything unusual to a person on your team.

This journey is a conceptual example of how a connected operation works — an illustration of the design, not a deployed customer result.

Human approvals, escalation, and exceptions

CompanyGPT is built on a simple rule: AI prepares and routes; people approve.

  • Approvals. Anything that goes to a customer, changes a price, or commits your business waits for a named human to approve it.
  • Escalation. Sensitive situations — an angry customer, an unusual request, anything involving a discount or a refund — escalate to a person automatically.
  • Exceptions. When the AI encounters something outside your documented rules, it stops and asks instead of guessing. The do-not-claim discipline from your Business DNA Assessment carries through here.

The Live Board and your existing systems

The Live Board is the shared operational picture of work in flight: which inquiries are open, which quotes are awaiting approval, which jobs are scheduled, and which invoices are outstanding — one view of the business instead of five different lists. Integrations connect CompanyGPT to the systems you already use — your website, phone, calendar, and accounting — where doing so removes manual work.

Both the Live Board and the integration patterns shown during an engagement are conceptual and illustrative at this stage: they describe the design direction, not a finished, deployed product.

How delivery works

  1. Discovery

We learn how your business actually runs — usually building on a Business DNA Assessment.

  2. Design

A conceptual design of your CompanyGPT: roles, workflows, integrations, and approval points.

  3. Approval

You review the design and approve, adjust, or reject each part before anything is built.

  4. Build

Approved workflows are implemented in phases, starting with the area of clearest value.

  5. Test

Every workflow is tested with your team against real scenarios before it goes live.

  6. Deploy

Workflows go live one at a time, with training for the people who use them.

  7. Support

Ongoing support keeps the system aligned with how your business evolves.

Frequently asked questions

Is CompanyGPT a product I install?
No. CompanyGPT is a custom engagement: a private, business-specific operating layer designed and built for your business with phased delivery, testing, and support. It is not off-the-shelf software.
Do I need the Business DNA Assessment first?
It is the recommended starting point, because it documents your business in exactly the form a CompanyGPT design needs — but it is not a hard requirement. Discovery can produce the same understanding.
Who approves what the AI does?
Your people do. AI drafts, prepares, and routes work; named humans approve anything that goes to a customer, changes a price, or commits the business. Exceptions and sensitive situations escalate to people by design.
Does it replace my current software?
No. CompanyGPT works alongside your existing website, phone, calendar, and accounting. Integrations are added where they remove manual work; nothing is ripped out as a precondition.
How long does a CompanyGPT engagement take?
Timelines are scoped during discovery and depend on the number of workflows and integrations. Focused workflows are the fastest; broader transformations proceed in phases over a longer horizon. We quote ranges, not guarantees.
